Privacy Policy
This policy explains how Climbkit Cleaning Sdn Bhd (“Climbkit”, “we”, “us”) handles personal data in connection with the website climbkit.pro and our cleaning services, in line with the Personal Data Protection Act 2010 (PDPA) of Malaysia.
1. What we collect
When you send an enquiry or become a client, we may collect your name, phone number, email address, service address, access instructions (for example guardhouse procedures or key-collection notes), billing details and the service history of your address. We do not collect payment card numbers; payments are made by bank transfer, DuitNow or cash.
2. Why we collect it
We use personal data to respond to enquiries, schedule walkthroughs and visits, prepare quotes, deliver and document cleaning services, invoice for completed work, meet legal and insurance obligations, and — only if you have not objected — occasionally inform you about changes to our services or rates. We do not sell or rent personal data to anyone.
3. Access notes deserve a special mention
Details such as alarm procedures, key locations and gate codes are stored in a restricted system visible only to your assigned crew lead and the operations manager. They are never written on printed job sheets and are deleted within thirty days of a service relationship ending.
4. Who we share data with
Data is shared only with parties needed to run the service: our insurer (in the event of a claim), our accounting provider (invoicing records), and authorities where the law requires it. Crew members see only the information necessary for the day’s visits.
5. How long we keep it
Enquiry records that do not become bookings are removed after twelve months. Client and invoicing records are retained for seven years to satisfy Malaysian tax and accounting requirements, then destroyed.
6. Your rights
Under the PDPA you may request access to the personal data we hold about you, ask for corrections, or withdraw consent to processing (which may mean we can no longer provide services). Write to [email protected] and we will respond within twenty-one days.
7. Security
Records live in access-controlled systems with two-factor authentication. Paper is kept to a minimum and shredded when no longer needed. No system is perfectly secure, but we treat your home’s information with the same care we expect our crews to show inside it.
8. Changes
If this policy changes materially we will note the new revision date at the top of this page. Continued use of our services after a revision means you accept the updated terms.
